Welcome to Student Accounts

The Office of Student Accounts is primarily responsible for:

• Billing and collection of tuition, fees, room and board charges.
• Management of cash payment plans.
• Student refunds and withdrawal calculations.
• Preparation of Statements of Account (e.g., for employer or other third party tuition reimbursement).

Generally, the Student Accounts Office is open from 9:00 AM to 7:00 PM Monday through Thursday, 9:00 AM to 5:00 PM on Friday, and 9:00 AM to 3:00 PM on Saturday.

Payment Plans

Students are required to clear for the upcoming term four weeks before the start of the semester, out of pocket balances are due in full at that time. However, Berkeley College does offer students the opportunity to enroll in a payment plan. In order to utilize this option, students must sign a Payment Plan Promissory Note and Disclosure e-form. This contract can be obtained by contacting the Student Accounts Office. Initial payment must be made before enrolling in a Payment Plan Contract. The standard payment plan extends over four months.

There is no interest charged to balances, but there is a $20 fee to enter into a payment plan contract. If a student is delinquent on his/her payment plan, a $75 late fee will be charged to the account for each missed payment. Please note there is a $20 NSF fee for returned checks and returned ACH payments.

Tuition Reimbursement

Berkeley College offers deferral of term bill charges for qualified students, covered under an approved third-party. Students who qualify for employer-sponsored tuition reimbursement must present a specific company tuition reimbursement approval letter that indicates the amount of tuition and fees covered. Students must submit proof of eligibility to the Student Accounts Office each term in order to qualify for deferral of charges. The College will invoice the company to release funds for the term/semester of enrollment.

The payment deferral applies only to the amount expected to be paid by the employer. Charges not covered are the responsibility of the student and must be paid at registration each term/semester. The deferred charges must be remitted to the College no later than week 4 of the subsequent term/semester. Late payment fees will be charged to the student if payments are not received by the above deadline.

If the student withdraws from the College, the entire balance is the responsibility of the student unless the Company notifies Berkeley College in writing that they will pay the total remaining balance on the account.

Other common sources of third-party tuition reimbursement include, but are not limited to: state vocational rehabilitation benefits, Americorps, and approved scholarship granting organizations.

To qualify for a third-party tuition reimbursement deferral, students must submit a Third Party Billing Agreement along with proof of eligibility. The Third Party Billing Agreement is available by contacting the Student Accounts office. Employer tuition reimbursement policy and proof of eligibility for the benefit must be provided to the Student Accounts department.

Registration Procedure

Registration Procedure
Registration occurs on a per term/semester basis and involves three steps:

1. Select classes with the Advisement office

2. Become packaged with the Financial Aid office

3. Take care of any out-of-pocket expense with the Student Accounts office

The first and second steps must be taken care of with the respective offices only. For registration purposes, the Student Accounts office will only advise students about charges, fees, and payment arrangements. For assistance with non-financial issues, such as creating a scheduling, changing to part-time or full-time status, or understanding financial aid, please visit your campus' Advisement and/or Financial Aid Offices prior to the clearance deadline.

The third step of registration involves "clearance" with the Student Accounts office. The word "clearance" simply means that students will be allowed to start their classes for the upcoming semester if they have either made arrangements to pay a prior/current balance, or have no balance due at all. Failure to clear on time may result in a $50.00 Late Registration Fee.
